What is an appointment letter?
The document that sets out the terms someone is employed on: role, pay, probation, notice period, hours and place of work. It is issued after an offer is accepted, usually on or just after the joining date.
Do I need one if I already sent an offer letter?
Yes, in practice. The offer letter proposes; the appointment letter records the terms actually agreed. Background checks look for it, and an employee holding only an offer letter has thin proof of what was promised.
What is a normal probation period in India?
Three to six months is the common range, and six is typical for permanent roles at larger companies. Whatever you choose, state it — an unstated probation confuses everyone later.
What notice period should I put?
One to three months, depending on seniority. Bear in mind that it cuts both ways: a long notice period also binds you when you want to release someone quickly.
Can I change the terms afterwards?
Not on your own. Changing pay, role or notice period after appointment normally needs the employee to agree in writing — which is what a promotion letter or a revised appointment letter is for.
Should the salary breakup be in it?
It helps. Put the annual CTC in the field and the component split in the body if you want it on the letter; otherwise attach the structure separately and say so in the text.
